The Columbus vehicle pool has been established and vehicles may now be checked out. There are (or soon will be) seven cars, one seven-passenger van and pick up truck. The procedures that has been developed so far is:
1. Each department designates at least one and preferably two individuals who are the contact persons for reserving vehicles.
2. Faculty and staff wishing to check out a vehicle completes the reservation form and gives it to the department representative (see attached Reservation request form)
3. Department representative ensures that the requester has a valid driver's license, is at least 18 years of age, AND is an employee of the University (Liability insurance is not valid for non-employee drivers). They FAX the form to the Columbus Director's Office (292-3263).
4. Upon receipt of the FAX, the Director's office staff will schedule the vehicle and a confirmation will be sent to the designated contact within one business day of the request.
5. Keys may be picked up in Room 115, Ag. Admin., no earlier than the last business day before the scheduled departure. For the purpose of key pick up and return, our office hours are Monday through Friday 8:30 a.m. until 4:30 p.m., closed weekends and holidays. Please pick up your keys from our offices on the last regular business day prior to travel for weekends and holidays.
6. When the driver picks up the key, he/she will be given a trip vehicle form to complete (attached). Be sure to record initial odometer reading. The remainder of the form should be filled out immediately upon completion of the trip (not mileage), including account number OR if the trip is between the Columbus - Wooster campuses, the name signature of a passenger.
7. The vehicle trip form and the key must be returned to the Director's Office in Columbus (115 Ag. Admin.) by noon of the first business day following the trip.
Notes: 1. All vehicles traveling between the Columbus and Wooster campuses for any legitimate purpose will continue to be made available free of charge providing there are at least two people in the vehicle, verified by signature of the passenger.
3. Mileage includes gas which can be purchased with the credit card located in the glove compartment. Return all receipts with the vehicle trip form and keys. If your trip includes the Wooster campus, please fill the car with gas at the garage since the price is considerably cheaper than commercial stations.
4. Please return the car with at least 1/2 tank of gasoline and leave it clean inside for the next driver.
