CHILDCARE PROGRAM COMMITTEE MEETINGS

OARDC Childcare Program committee meetings shall be held at least four times per year. An agenda shall be published and distributed to members of the Childcare committee at least five business days prior to the meeting. A Childcare Program committee meeting involving all committee members and program participants shall be held annually to inform participants of current and new policies and to address any concerns or questions that participants may have. Major policy changes will be approved by the OARDC director's office.

COMMITTEE MEMBERS

A five member advisory committee comprised of OARDC employees appointed by the OARDC director's office shall administer the Childcare Program. At least two of the five-committee members must be parents of a child under the age of 12. The Childcare Program advisory committee will have one ex-officio from the OARDC director's office. All members, excluding the ex-officio, shall serve a three-year term, commencing in October.

OFFICERS

The officers of the OARDC Childcare Program committee shall be a Chair, Fiscal Officer, and Secretary. The officers selected shall serve in that role for one year. New officers will be selected in October. Officers shall undertake the duties described below.

OFFICER DUTIES

The Chair shall organize monthly meetings and distribute an agenda five business days prior to the meeting. The Chair will be responsible for reviewing and approving all new applications and sending out an approval letter to the applicant. The Chair shall address and respond to all inquiries about the OARDC Childcare program. The Chair shall represent participants and act as a liaison with the University and OARDC administration.

The Fiscal Officer shall communicate with administration on the yearly budget allocation and the financial position of the Childcare Program, review financial records monthly to ensure the program is staying with in budget, communicate with Columbus Human Resources on fiscal policies and procedures and prepare any documentation requested and ensure participant folders are maintained with up to date documentation.

The Secretary shall take minutes at scheduled meetings, archive records including program policies, program description, application and reimbursement forms, and website documents. The Secretary shall work with the department of Communications and Technology to keep material on the website up to date and accessible.
