CONSTITUTION
ARTICLE I – NAME
Entomology Graduate Student Association (EGSA)
ARTICLE II – PURPOSE
To give students affiliated with The Ohio State University (OSU) the opportunity to interact with each other and have input into the development of the discipline of Entomology.
ARTICLE III – MEMBERSHIP
Any OSU student registered in the Department of Entomology who regularly participates in departmental activities is qualified for membership in EGSA. EGSA does not discriminate based on race, color, creed, religion, sexual orientation, national origin, sex, or age.
Each member has the right to participate in any function/activity the association holds.
ARTICLE IV – MEETINGS
Meetings are held when deemed necessary at a time agreed upon by the officers.
ARTICLE V – OFFICERS
The club has the following officers: President, Vice-President, Treasurer, Secretary, Council of Graduate Students (CGS) Representative, Curriculum Committee Representative, Logistics Officer, Seminar Officer, Social Coordinator, and Faculty Representative. The Executive Committee shall consist of the President, Vice-President, Secretary, and CGS Representative.
President
The President shall call, preside, and set the agenda for all business meetings. The President shall attend departmental faculty meetings. The President may assign chairpersons to committees as deemed necessary by the executive committee and/or membership. The President, along with the Treasurer, serve as the main contacts for Student Organizations.
Vice President
The Vice-President shall perform the duties of the president and/or the Secretary in his/her absence(s) and serves as a member of the Executive Committee.
Secretary / Treasurer
The Secretary shall record the proceedings of each business meeting and serve as a member of the Executive Committee. The Secretary shall deposit a copy of each meetings minutes with the Entomology Graduate Studies Coordinator and provide copies to the membership as requested. The Secretary shall oversee all monetary issues for the organization and serve as a second main contact for Student Organizations.
Graduate Student Government Representative
The Graduate Student Government Officer shall attend all Council of Graduate Students (CGS) meetings as a representative of EGSA. He/she is also responsible for reporting to EGSA any significant issues discussed by the Council of Graduate Students in order to keep the organization aware of university-wide issues affecting graduate students. The Representative will also gather feedback from the members of EGSA for CGS and serve on the Executive Committee.
Logistics
The Logistics Officer shall inform the membership of upcoming Entomological events, including meetings or competitions of Entomological societies and associations and departmental functions such as insect fairs and outreach opportunities.
Curriculum Committee Representative
The Curriculum Committee Representative shall attend all departmental Curriculum Committee meetings and represent the position of EGSA on changes in the departmental curriculum. He/she is also responsible for reporting to EGSA any significant issues discussed by the Curriculum Committee.
Graduate Committee
The Graduate Committee Representative shall attend all Graduate Committee meetings and represent the position of EGSA on graduate issues. He/she is also responsible for reporting to EGSA any significant issues discussed by the Graduate Committee.
Scholarships and Awards Committee Representative
The Scholarships and Awards Representative shall attend all Scholarship and Awards Committee meetings and represent the position of EGSA on factors concerning scholarships and awards. He/she is also responsible for reporting to EGSA any significant issues discussed by the Scholarship and Awards Committee.
Social Committee
The Social Committee Officer shall plan and inform the membership of upcoming social events. The Social Committee Officer shall assist the Entomology Social Committee with departmental social events.
Seminar Committee
The Seminar Committee Officer shall assist in the set up and take down multimedia devices for departmental seminars. The Seminar Committee Officer shall provide the Seminar Committee with recommendations for seminar topics and speakers on behalf of the membership.
Faculty Representative
The Faculty Representative Officer shall serve as the organization’s advisor to EGSA membership.
ARTICLE VI- ELECTIONS
Elections for new officers will be held during spring quarter with new officers taking office at the beginning of the following Fall quarter. Voting will take place after nominations via ballot.
Officers will be removed by their own choice, or if the executive committee convenes and recommends such a decision.
ARTICLE VII – FUNDS
All monies contributed to EGSA will go into an account. These funds may be used for the provision of refreshments at meetings or events as long as the amount does not exceed $30. The membership shall determine when larger funds shall be provisioned for events or other expenses. The Executive Committee, upon the request of any officer, reserves the right to make emergency decisions to appropriate funds up to $100 without the consent of the general membership.
ARTICLE VIII – FACULTY REPRESENTATIVE
The Faculty Representative will be chosen in the annual elections and must be a faculty member of the Department of Entomology at OSU. The Faculty Representative performs the role of the organization’s advisor and is also a voting member of EGSA during his/her term. The Faculty Representative acts as an interpreter of departmental regulations and faculty view-points for the Association and as the envoy between The Department of Entomology faculty and the OSU community.
ARTICLE IX – ADMENDMENTS
An amendment to the Constitution should first be presented to the Executive Committee, who may then ask that the amendment be distributed to the membership for discussion. After being presented to the membership, the amendment can be voted on and accepted or rejected by a majority of the members present.
